Administrative Receptionist

Job Description

Position Summary

Reporting to the Assistant Director of Finance, the Administrative Receptionist is the first point of contact for visitors and callers to the Home. The Administrative Receptionist is responsible for carrying out functions associated with reception/secretarial services and all relevant office duties, some accounting duties, and provides assistance and support to the management team.

Key Responsibilities

• Customer service and receptionist duties
• Greets and welcomes visitors, and informs relevant members of staff of their arrival
• Deals with inquires at the front office and directs requests and calls to the appropriate person or department
• Answers incoming telephone calls courteously, with tact and professionalism, and within two (2) rings
• Monitors and trouble shoots telephone answering system
• Checks and signs for deliveries and informs relevant member of staff of their arrival
• Manages tenant parking assignments
• Processes internal/external mail and ensures delivery to relevant staff, tenants, residents, or post office
• Monitors and ensures that the reception area, office and office equipment room is kept tidy and projects a professional business-like image
• Inventories and orders office supplies
• Opens office at the beginning of the day and closes office at the end of the day, and ensures the proper handling of sensitive or confidential information, (e.g., all monies are properly secured in the safe; all personal tenant/resident information is filed away, etc.)
• Provides administrative assistance to the Assistant Director of Finance, including assisting with tasks associated with the admissions process (e.g., preparing resident and tenant information packages, etc.), maintaining resident/tenant information (e.g., filing, updating resident/tenant files and lists, statistics, resident Move In/Move Out notices, etc.), and posting internal/external advertisements and communications
• General and individual filing is to be done in an organized manner by alphabet and date, in ascending order
• Participates in archives process and maintenance of the archives room
• Handles requests for room bookings, (e.g., lounges, meeting rooms, hospitality suites, etc.)
• Submits building/maintenance/work requests to Worxhub
• Completes tenant meal billings with accuracy and at their required interval
• Receives and documents payments (e.g., resident/tenant trust accounts, room bookings, tenant meal payments, keys, photocopies, etc.), with accuracy and in a timely manner
• Issues and documents outgoing cash (resident/tenant trust accounts, petty cash), with accuracy and in a timely manner
• Maintains building key repositories and sign out lists. Issues and retrieves keys from staff, tenants/families, and service providers
• Responsible for implementation of a comprehensive office management style and approach which utilizes efficiency, efficacy, and organization. Ability to critically assess office systems and present to the Assistant Director of Finance suitable and acceptable courses of change
• Performs such duties as may vary from time-to-time as assigned by the Assistant Director of Finance, (e.g., preparation of meeting material, etc.)
• Knowledge of and promotes the homes Montessori Philosophy of Care
• Understand and comply with all policies and procedures set out by Radiant Care
• Keep up-to-date, comply and enforce applicable legislation (Long-term-care Act, AODA, Resident’s Rights, OH&S Act and Regulations, etc.)
• Complete all Mandatory Training assigned by the Radiant Care
• Other duties, as assigned by Supervisor

Qualifications 

  • Agrees and supports the objectives and philosophy of the Organization and displays a caring, respectful attitude towards residents, families, and team members.
  • Sensitive to the unique, ethnic and faith community of Radiant Care.
  • Strong ambassador of Radiant Care.
  • Direct and firm, yet diplomatic and caring approach
  • Minimun of 6 months office administration experience
  • Minimum of a secondary school diploma
  • Willingness to upgrade and maintain personal and educational qualifications as required by the changing demands of the job.
  • Excellent organizational, time management, personal, customer service, written and oral communication skills.
  • Self-motivated and able to work independently and together with others in a fast-paced environment.
  • Computer literate, including demonstrated proficiency with Microsoft Office (esp. Excel) and Point Click Care.
